Time sucker: Any time you find yourself answering the same question twice to either a team member, a potential, current, or past customer.

 5 Steps to free up your time by improving communication:

  1. Draft a template response (take one of your recent responses and use that as a starting point.)

  2. Copy and paste it into a working document.

  3. Use this email to create a template response: clean out personal information or sentences that don’t apply. Save it to your email drafts labeled “customer service issue:______”.

  4. Circulate this email with your team members so everybody can use the same response. 

  5. Next time the question comes in your inbox, open up the drafted template, sprinkle in some personalization, and send it off!

 

Tip: If the response to the issue is complicated or overwhelming, consider making a short video explaining the solution. You can use this video as a template in your email draft or put it up on your Instagram highlight reel so it is easily accessible.
